GENERAL

Q. Will ISBE 2022 be in person or online?
A. Our aim is to hold the meeting in person and welcome you all to Stockholm in 2022! However, we also aim to have options available for delegates to attend virtually. We acknowledge that the COVID-19 situation can change rapidly and upend even the best of plans. Therefore, we will continue to monitor the situation and update the community if and when these plans change.

REGISTRATION

Q: I registered to attend the conference in Stockholm but now I want to change to virtual participation/attendance, how does that work?
A: If the request is received before June 17th, a fee of 500SEK will be charged as a cancellation fee. If the request is received after June 17th no refunds will be made, but you can still make the change to virtual participation. All changes need to be reported to ISBE2022@meetagain.se.

Q: Is it possible to pay the registration cost using one credit card, and then book the dinner and excursions using another card? 
A: Yes. Go ahead and register and pay for the conference fee (do not add the dinner and excursions at this time). Then email the support your options and they will send you another payment link.

Q: I made a mistake while registering for the conference and registered myself as the wrong registration category (ISBE Member, Student/Developing Nation, Non-ISBE Member) is it possible to change the category and get a refund?
A: Yes. Please note that we classify such a change as a cancellation, and will take out an administrative fee of 500SEK to change your participation in the conference. It is possible to transfer your previous registration to a colleague, that way you can make a new registration without going through the cancellation process.

Q: I can see that VAT is still charged on my conference fee even if I come from a country where VAT rules don’t apply, why is that?
A: The Swedish VAT (Value Added Tax) rules for a physical congress imply that all delegates will be charged 25% VAT, but the VAT can be reclaimed in most cases (see info below). The VAT will be specified on the invoice. Hence, a valid VAT or tax registration number for your company/ organization must be provided with the registration. Read more on this page.

Q: Will lunch vouchers be available to purchase during the conference on-site or do you have to purchase them during your registration?
A: Lunch tickets will not be available on-site, they’ll have to be bought ahead of time when registering for the conference. There will be a lot of other lunch options available around the conference venue.

Q: I need a receipt/invoice for my institution but I filled in the wrong address or need to add a VAT number, is that possible?
A: If the receipt/invoice needs manual correction after registration, an administration fee of SEK 250 excluding VAT is charged. The same goes for adding a VAT number. The person who registers is responsible for entering the relevant address for the receipt.

DINNER & EXCURSIONS

Q: Is there a way I can buy an extra ticket for a guest or an accompanying person to the congress dinner or excursions?
A: No. Unfortunately, there’s limited space so we’re saving the tickets for the attending delegates.

Q: Can I sign up on a waiting list for the excursions that are fully booked to get a chance to be added at a later point if someone cancels? 
A: There are a lot of people wanting to register for the excursions that are full. As of right now, we do not offer a waiting list. Please reach out at a later point to see if there are more spots added.

Q: I’m in the process of registering for the ISBE conference in Stockholm. I’m looking at the excursions and I’m wondering if there will be an opportunity to book one later or if I have to make the choice while registering.
A: Yes, it’s possible to add the excursions to your registration at a later point. Feel free to reach out to us (ISBE2022@meetagain.se) and we’ll go ahead and send over a payment link. Please note that there are limited spaces for the excursions, so if any of them are full you won’t be able to add that one to your registration. Also, any additions have to be made before the conference starts.

PROGRAM

Q. Can I propose a symposium session for ISBE 2022?
A. ISBE Congresses do not solicit proposals for symposium topics. Instead, participants submit abstracts and identify themes/topics related to their work during the abstract submission process. The scientific committee will then arrange accepted talks into themed sessions.

Q. Will ISBE 2022 help to facilitate post-congress symposia?
A. No. The International Society for Behavioral Ecology no longer facilitates the running of post-congress symposia. However, colleagues are welcome to take advantage of the large international gathering of researchers to organize and run their own pre-and post-conference meetings. FUNDING & TRAVEL

Q: I need an invitation letter and I have registered and paid for the conference but still haven’t received my letter, how can I expedite the process?
A: Right now there are a lot of delegates requesting invitation letters and we’re handling these inquiries as they are received on a case by case basis. Please have patience during this process, we’re working as fast as we can. For more information read more on this page. 

Q: Are travel awards available for ISBE 2022?
A: The deadline to submit travel award applications has now passed (application deadline: February 7, 2022). The registration for virtual participation will open up on May 6 for those who still want to participate but missed the deadline.

Covid Information

We are happy to tell you that Sweden will lift nearly all COVID related restrictions from February 9, 2022 and that will also include updated travel rules. We will continue to monitor the situation and keep you updated, with the hope that the situation continues to move in a positive direction. 

However, we are keenly aware of the uncertainty surrounding the COVID situation around the world and that the situation can change rapidly. Therefore, ISBE 2022 will comply with all recommendations and guidelines offered by the Public Health Agency of Sweden. As these recommendations are likely to continue to change between now and the start of the congress, we refer people to the Public Health Agency of Sweden’s website for more information.

More specific information about guidelines for a COVID compliant ISBE 2022 will be made available closer to the congress start date (at least 1 month in advance).
